Board & Committee Openings

What is the PTA? You are the PTA! The Abernethy Elementary School PTA is for anyone and everyone – parents, teachers, staff, grandparents, neighbors, friends – who has an interest in supporting our school. Be part of the solution! It is our mission to enrich our children’s educational experience through PTA programs, events, and classroom support. Everyone is welcome and encouraged to participate.

The Abernethy School PTA is looking for the following volunteers for the 2021-22 school year:

Secretary

Term: 1 year

  • Prepares agendas for monthly Board and Community Meetings, records the meeting minutes for our PTA file and posts minutes online for the community
  • Sends community and board meeting announcements to the PTA Communications team for Abernethy Announcements and PTA Facebook page and posts meeting announcements on Abernethy Google Group
  • Researches and stays up to date on PTA organization rules for meeting conduct and other procedures (e.g. budget amendments, elections, etc.)

THIS IS GOOD FOR...someone who wants to help the PTA run smoothly and can commit to attending up to two meetings per month; additional work outside of monthly meeting times is limited.

Community Meeting Expectations: The Secretary is expected at all community meetings.

Communications Team

Term: 1 year

  • Coordinates volunteers for all PTA communication efforts including: Abernethy Announcements and Facebook
  • Social media coordinator runs Abernethy PTA Facebook page
  • Abernethy Announcements coordinator accepts information for and produces the Abernethy Announcements in Mailchimp weekly

THIS IS GOOD FOR… someone who likes to learn new skills and work with multiple people to spread the word!  Most, if not all, of this role can be done remotely, so if you’d like to be involved but can’t make it to school, this could be for you!

Note: The Communications Team shares one vote on the board

Community Meeting Expectations: The Communications Team is expected at all community meetings.

Advocacy

Term: 1 or 2 years

  • Identify opportunities for Abernethy community to advocate for change outside of our school
  • Liaise with Oregon PTA legislative director during state legislative sessions and with the Portland Association of Teachers building representative as needed
  • Communicate and recruit parents to engage in advocacy efforts at state and district levels to promote quality public education

THIS IS GOOD FOR...someone who understands and enjoys following state and district politics, and can guide others in joining collective actions. Can be done remotely.

Community Meeting Presentations: The Advocacy chair is expected to attend all community meetings and present updates to the community when necessary.

Basketball Administrator

Term: 1 or 2 years

  • Assist the Basketball Chair and Treasurer with implementing a new registration system for Abernethy’s K-5 basketball program
  • Work with Basketball Committee to communicate via Support Abernethy website, Abernethy Announcements, etc. to the larger community regarding important updates throughout the season

THIS IS GOOD FOR...someone who loves basketball but cannot be at school a lot. This role is mainly administrative, working alongside other basketball committee members. Can be done entirely remotely.

Community Meeting Expectations: The Basketball committee is not expected to present at any community meetings.

Carnival Co-Chair

Term: 2+ years

The Abernethy PTA celebrates the end of the school year with a Carnival. The kids look forward to this event all year! Event date is historically the second or third week of May and involves the entire school community. We’re seeking a co-chair for the 2022 Carnival - the new co-chair would take the reins from there.

  • Coordinate and oversee committee of approximately 6-8 volunteers
  • Direct responsibilities including coordinating with PPS, Abernethy staff, outside vendors (including food), ticket sales, communicating with the Abernethy community, and setup and breakdown of the event. 

THIS IS GOOD FOR… A person or people who value community connection through FUN activities for children. Enjoys planning large events and is able to delegate and communicate to a variety of committee members. Need a flexible schedule day of the event.

Community Meeting Expectations: The Co-Chairs are expected to present updates to the community when necessary.

Equity & Inclusion Committee Chair

Term: 1 year

  • Coordinates with school principal to align committee goals with district Racial Equity & Social Justice framework plans and executes community resources and events
  • Coordinates with Abernethy PTA Communications team to keep community apprised of equity resources and events
  • Coordinates with Advocacy Chair on any concerns that go beyond the school level

THIS IS GOOD FOR…someone who likes to work with multiple people and can engage our community in conversations and learning about equity and inclusion. Most of this role can be done remotely. Committee chair would need to be onsite during events.

Community Meeting Expectations: The Equity & Inclusion Chair is expected to attend all community and board meetings.

Finance Team: Deposits

Term: 1 year

  • Responsible for gathering cash and checks from the PTA Inbox and/or Officers and depositing those funds into the PTA account
  • Ensure deposited funds are accounted for and managed appropriately

THIS IS GOOD FOR...someone who is responsible and comfortable working with money. The majority of this job can be done outside of the school day. However, periodic visits to the school office are required to pick up deposits.

Note: The Finance Team shares one vote on the board.

Community Meeting Expectations: The Finance Team is expected to attend all community and board meetings.

Fundraising Chairs

Term: 1 year

The Abernethy PTA runs four major fundraisers during the year. These are usually chaired by two people with one person in training. We are looking for volunteers to chair the following:

Annual Appeal

Late fall (love being behind the scenes?)

Auction

Winter/spring (love planning big events?)

Each fundraiser is unique, but chairs must:

  • Prepare materials to be sent home with each child, update Support Abernethy and PledgeStar websites, and communicate with the community in advance
  • Assemble a volunteer team to execute the event or activity
  • Report to the board on progress and donation amounts

THESE ARE GOOD FOR...people who want to make a significant impact on the financial viability of Abernethy’s programs. While each fundraiser can be time-intensive, it is only for a concentrated period of time. Except for the day of the event, most of these can be managed remotely.

Community Meeting Expectations: Fundraising Chairs are expected to present updates to the community at the kickoff of the event, the month leading to the event, and the month after the event.

Grounds Coordinator

Term: 1 or 2 years

  • Works with community and school administration to ensure our school grounds look great and provide a healthy environment for our kids. This includes the maintenance of the Garden of Wonders, native garden, rain garden, playground, and other planting areas surrounding the school.
  • Coordinates periodic garden/grounds cleanup days for community participation.
  • Coordinates “Adopt-A-Plot” program to assign volunteers to specific areas of the school grounds for ongoing maintenance.
  • May write proposals for grants to procure funds to assist with ground maintenance and/or improvements.

THIS IS GOOD FOR…someone who takes pride in how our little school under the elms looks and can assist with at least two community weekend events each year.

Community Meeting Presentations: The Grounds Coordinator is expected to attend all community meetings and present updates to the community when necessary.

New Family Connections

Term: 1 year

  • Chaired by two people, seeking one person to join the team
  • Communicates with incoming families to help orient them to Abernethy
  • Coordinates and plans events throughout the summer to welcome new families to Abernethy, including summer playground meetups for new and incoming kindergarten families and a popsicle social the first week of school
  • Joins school staff at Connect to Kindergarten to help plan and staff the event and to welcome families. (Connect to Kindergarten happens in February)

THIS IS GOOD FOR...A person who can remember what it’s like to be a new parent or student and wants to make people feel connected to our school community.

Community Meeting Expectations: The New Family Connections coordinator is expected to attend most community meetings and present updates to the community when necessary.

Talon Graphic Designer

Term: 1 year

  • Compiles articles and art to lay out school newspaper using design software such as InDesign

THIS IS GOOD FOR...someone with graphic design experience (or the desire to learn InDesign).

Community Meeting Expectations: The Talon Graphic Designer is not expected to attend any community meetings.

Tour De Ladd Co-Chair

Term: 2 years

The Tour De Ladd Chairs are looking for a Co-Chair to learn the ropes in the 2021/22 school year and take the lead in the 2022/23 school year. If you love bikes, this is for you!

  • Prepare materials to be sent home with each child, update Support Abernethy and PledgeStar websites, and communicate with the community in advance.
  • Assemble a volunteer team to execute the event or activity.
  • Report to the board on progress and donation amounts.

THIS IS GOOD FOR…A person or people who want to make a significant impact on the financial viability of Abernethy’s programs. While this fundraiser can be time-intensive, it is only for a concentrated period of time. Except for the day of the event, most of these can be managed remotely.
